Proposal and Client Relations Specialist

Job Summary: The Proposal and Client Relations Specialist is responsible for preparing high-quality, comprehensive proposals for new and existing projects while maintaining strong relationships with clients. This role involves collaborating with engineers, project managers, and other stakeholders to ensure that proposals align with the company’s strategic goals and client needs. The successful candidate will have excellent communication and organizational skills, a keen attention to detail, and a proactive approach to managing client interactions.

Key Responsibilities:

  • Proposal Preparation: Develop, write, and edit proposals for geotechnical engineering projects, including technical descriptions, project schedules, cost estimates, and other relevant documents.
  • Client Communication: Serve as the primary point of contact for clients during the proposal process and throughout the project lifecycle, providing timely updates and addressing any concerns or questions.
  • Relationship Management: Build and maintain strong relationships with clients, ensuring their needs are understood and met in a professional and efficient manner.
  • Collaboration: Work closely with engineers, project managers, and other team members to gather information and input for proposals and client communications.
  • Market Research: Stay informed about industry trends and competitors’ activities to identify potential opportunities and threats.
  • Sales Support: Assist the business development team with lead generation, sales presentations, and other sales-related tasks as needed.
  • Contract Management: Assist in negotiating and drafting contracts and agreements with clients.
  • Follow-Up: Monitor project progress and follow up with clients to ensure satisfaction and address any additional needs.
  • Documentation: Maintain accurate records of proposals, client communications, and project-related information.
  • Continuous Improvement: Provide feedback and suggestions for process improvements in proposal development and client relations.


  • 3+ years of experience in proposal writing and client relations, preferably in the engineering industry.
  • Strong written and verbal communication skills, with the ability to convey complex technical concepts clearly.
  • Excellent organizational and time management skills.
  • Proven ability to work effectively in a collaborative, team-oriented environment.
  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Attention to detail and ability to manage multiple projects simultaneously.
  • Experience with CRM software a plus.
  • Knowledge of geotechnical engineering is a plus.
  • Bachelor’s degree in a related field (e.g., Engineering, Business, Marketing) a plus.
